Financial Aid Assistant
Job Description
The Financial Aid Assistant will provide administrative and front-end office support for the Office of Financial Aid (FAO), Admissions Department and the Enrollment Center (EC) as a whole. This position will assist all visitors with obtaining information to include financial aid, but will also provide general information about admissions, registration, orientation, assessment, and business office support. The Financial Aid Assistant will provide general financial aid assistance and initial level screening for appropriate referral of questions and phone calls to the financial aid advisors. In this role all activities will be conducted within the established guidelines of the Family Educational Rights and Privacy Act (FERPA), always maintaining confidentiality of student records in compliance.
- Assists students and families with frequent questions regarding financial aid applications, loans, scholarship processing and related tasks. This will include assisting students with filing the FAFSA and collection of verification paperwork.
- Maintain and update financial aid data within Banner Financial Systems; maintain accurate records for student aid applicants and assist in collecting data for required reporting.
- Oversees the document imaging and file management process for the Financial Aid Office.
- Assists with special projects, mailings, letter generation and provide appropriate follow-up.
- Read and understand forms for the Financial Aid and EC departments, providing appropriate forms to customers, verifying completeness of forms and accompanying materials submitted to the Office of Financial Aid. This should also include maintaining appropriate inventory of necessary student materials.
- Front line customer assistance, to include answering the front desk phone (FAO, EC, and Admissions Department calls), answer questions about financial aid processes, to include virtual and in-person students. Responds to inquiries and resolve problems or make the appropriate referral.
- Participate in community service, service learning, civic engagement projects, professional development workshops, and open house events as deemed appropriate by the Director, Vice-Chancellor, and/or the Chancellor.
- Performs other job-related duties and responsibilities as assigned by supervisor.
- High school diploma or equivalent (associate’s degree preferred).
- Six to twelve months related experience and/or training from college or technical college; or equivalent combination of education and experience required.
- Technical abilities with Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Strong written and oral communication skills, as well as strong people skills.
- Ability to read and interpret documents such as a procedure manual.
- Experience working with student financial aid programs or in another higher education enrollment management area a plus.
- Ability to perform multiple tasks in a dynamic environment.
- Ability to solve problems and deal with a variety of customer service-related issues that may arise.
