Responsibilities*
Provide highly responsible administrative support to the Chair of the Department of Mechanical Engineering; work closely with the Chair and Department Administrator on matters of a sensitive nature; manage annual faculty search process; schedule, plan, and coordinate visits for faculty search candidates; schedule meetings; manage calendars; maintain confidential files; prepare faculty meeting and advisory committee agendas and minutes; initiate written correspondence requiring interpretation of policies and procedures; serve as staff support to various departmental committees; manage bi-weekly ME Faculty seminars; assist Chair in planning and arranging for visitors; process gift forms; coordinate events; maintain various departmental email groups; and perform other duties as assigned.
Meeting & Committee Support - Coordinate, attend, and record departmental faculty meetings and departmental Advisory Committee meetings and coordinate, attend, and record bi-annual External Advisory Board meetings. Support the ME Honors and Awards Committee.
Administrative/Secretarial Support - Duties include (but are not limited to): event planning support; preparing advancement thank you letters; planning travel and hosting; reconciling PCard expenditures; scheduling and coordinating conference calls; assisting the Chair and Department Administrator as needed with departmental business; serving as the point of contact for the Chair; coordinating appointments on behalf of the Chair; and scheduling departmental faculty meetings & events.
Back up ME administrative front desk area as needed.
Required Qualifications*
The successful candidate will have significant experience in responsible staff and administrative support positions including a demonstrated excellence in communication skills; a demonstrated ability to communicate and work collaboratively with people at all levels of the organization; a demonstrated ability to interact effectively in a team setting; a courteous and professional demeanor; a demonstrated ability to develop and manage conventional and electronic filing and tracking systems; strong organizational skills with excellent abilities in setting priorities, managing multiple tasks, and meeting deadlines; a demonstrated ability to take initiative on projects; demonstrated excellence in customer service with high attention to detail and follow-through; and an ability to handle highly sensitive and confidential matters in a discreet manner and with diplomacy.
Strong communication and grammatical skills are required. Excellent time management and organizational skills are necessary. Strong customer service skills are necessary; ability to work effectively as a team with other staff members is required. Must be proficient in the use of personal computers and Microsoft Office and Google Suite applications.
