Position Summary
Reporting to the Vice Provost for Administration, this role provides clerical support to two Vice Provosts. The Executive Secretary supports and assists with the day-to-day operations of the Office of the Provost.
Essential Functions
- Maintains the calendars of the senior staff within the Office of Provost.
- Collaborates with the Executive Assistant to the Provost and other support staff on scheduling and other essential functions within the Provost’s area.
- Provides support to the Vice Provosts in the assembling of the annual report.
- Assists in critical needs with NY State program approvals and provides support to the director of International Initiatives.
- Manages and prepares confidential correspondence, drafts, edits, fact-checks, researches, formats, proofreads, and produces error-free correspondence.
- Responsible for all aspects of corporate credit card account processing, including organizing receipts, check requests, and expediting payments. Performs similar processing for other bills and invoices as assigned.
- Performs various general office duties as required by daily operations, such as providing phone and reception coverage and ordering and maintaining supplies.
- Works and communicates regularly with other academic/administrative offices throughout the University.

Required Qualifications: Education and Experience
- High School diploma required
- Minimum of three years of clerical experience.
Required Qualifications: Knowledge and Skills
- Excellent organizational and communicative skills.
- Technical proficiency including Microsoft Word, Excel, Access, and PowerPoint.
- Able to take initiative and must be comfortable with multitasking.
- Must be collaborative and work well with others.
- Must be able to maintain a high level of professionalism and confidentiality.
- Mandatory Competency Testing.
- Successful candidates should have a knowledge of and commitment to the goals of Jesuit Education.
