Job Description

Position Summary:

As part of the Registrar Team, the Registrar Specialist II will work in a small team to evaluate incoming transcripts for course equivalencies to Pima Community College (PCC) courses in accordance with statewide transfer agreements and College policies. The position will report to the Associate Registrar.

 

Duties and Responsibilities:

  • Receive and analyze transcripts from other institutions, foreign and domestic, as well as National Standardized Exam score reports, military work, and credit for prior learning
  • Review incoming college transcripts for proper accreditation
  • Analyze course descriptions, units completed, college level, credit unit value and grading system
  • Evaluate coursework for academic equivalencies using resources including paper and on-line college catalogs, course descriptions/syllabi, correspondence with the institutions involved, and other appropriate reference materials
  • Perform data entry in Banner Enterprise System and retrieve records from the College document imaging system
  • Assist in maintaining course articulation database
  • Contact faculty or other subject matter experts regarding specific equivalency questions or approvals
  • Assist advisors and other faculty/staff to provide guidance related to Student Records Management and transcript evaluation
  • Recommend and assist in the implementation of goals and objectives; participate in establishing and implementing unit policies and procedures
  • Use professional discretion in maintaining confidentiality of student records
  • Provide general Enrollment Services/Registrar assistance using several platforms including email, telephone and web-based chats
  • Performing other duties of a similar nature or level as required

 

Job Requirements:

  • Associate Degree and
  • One year of experience in Student Services or Student Records Management

or

  • Candidates who possess similar minimum objective qualifications should describe in detail the education and work experience they regard as establishing the equivalency

The ideal candidate will have the following knowledge, skills and abilities:

  • Knowledge of generally accepted office practices and procedures, including records management
  • Knowledge of and ability to use Banner Student information system and components
  • Knowledge of Arizona Statewide Transfer practices and policies
  • Knowledge of FERPA & maintaining security of confidential student records
  • Operational expertise in student records management
  • Interpreting information, making determinations and recommendations
  • Applying applicable, federal and state laws, rules, and regulations
  • Desktop computing and applicable software applications (Banner, Internet, MicroSoft and Google Suites)
  • Provide superior customer service (phone, email or in-person)
  • Clear, concise verbal and written communication and interpersonal skills sufficient to exchange or convey information and to receive work direction
  • Work prioritization while performing multiple tasks
  • Manage own time and work independently
