General Statement

The Veteran Affairs Assistant provides guidance and assistance to veterans, dependents, and actively serving students with processing state and federal VA education benefits. This includes reviewing student registration and ensuring compliance with individual benefit regulations. The Support Staff also provides step-by-step guidance to new students on how to initiate their state and federal VA benefits, navigate campus requirements, referrals to FAFSA, and the Military Training Transcript for college credit process.

The Veteran Affairs Assistant prepares paperwork for each student, each semester, to facilitate the certification of VA benefits by the Director/Certifying Official. They also mentor students throughout their education career, providing guidance on navigating Blackboard and the Q, and offering resources such as tutoring, counseling, and other student services as needed.

 

Supervision Received

Reports to the Director of Veteran Affairs.

 

Duties and Responsibilities

  • Effective communication with other offices on campus, including the Business Office, Registrar's Office and Admissions, is crucial to ensuring the success of the students.
  • The Veteran Affairs Assistant also uses MS Office, Share Point, Image Now/Perceptive Content, CX Jenzabar, and QCC Net software to manage student records and process Veteran Affairs emails and phone calls. Event programming software includes Wyvern Connect and Canva.
  • Greeting and assisting student veterans in the Veteran Affairs Office, track walk in numbers, and demographics for annual reporting.
  • Answering phone calls and Veteran affairs emails in efficient and timely manner
  • Guide students through VA Education benefits, maintaining student folders, file, scan and link documents, updating spreadsheets, and navigating online QCC Net student records. mentors' students throughout their QCC college career,
  • Oversees Work Studies and their duties, and actively participates with the QCC Veteran's Club.
  • Extensive guidance on state and federal VA education benefits and assist with mandated Federal reporting, 85/15, SAA and VA compliance Audits, 35% Exemption approval, and College Catalog Approval.

Key Responsibilities:

1.Certification of Enrollment:

  • Certify student enrollments, changes in enrollment, and academic progress to the VA.
  • Maintain accurate and up-to-date records of students using VA education benefits.
  • Ensure compliance with VA regulations and guidelines for certifying enrollments.

2.Advising and Support:

  • Provide guidance and assistance to veterans and their dependents on how to apply for and utilize VA education benefits.
  • Explain VA educational benefits programs, eligibility requirements, and application processes.
  • Assist students in resolving issues related to their benefits, such as payments, eligibility, and academic standing.

3.Reporting Duties:

  • Submit required reports to the VA, including terminations, reductions, and increases in enrollment. 85/15, 35% Exemption, School Catalog approval.
  • Track and report students' academic progress and maintain records of their courses, grades, and attendance.
  • Monitor and report any changes in students' enrollment status promptly to ensure proper adjustment of benefits.

4.Compliance and Record Keeping:

  • Ensure institutional compliance with federal regulations and VA policies.
  • Conduct internal audits to verify accuracy and completeness of student records and certifications.
  • Maintain confidentiality and security of student records in accordance with FERPA and VA requirements.

5.Coordination and Communication:

  • Collaborate with various departments within the institution, including admissions, financial aid, and the registrar's office, to coordinate services for veteran students.
  • Serve as the primary point of contact for the VA and participate in VA training programs and conferences to stay updated on policy changes and best practices.
  • Facilitate communication between the school and the VA to resolve any issues or discrepancies.

6.Training and Development:

  • Attend regular VA training sessions and workshops to stay informed about new regulations and changes in VA education benefit programs.
  • Train and supervise additional staff members or student workers assisting with VA certification processes.
  • Develop and implement policies and procedures for certifying officials to ensure consistent and accurate certification processes.

Job Requirements:


Minimum Qualifications

  • High School diploma/GED
  • Experience with Office 365, as well as Google workspace and suite.
  • Ability to maintain accurate records.
  • Experience in a fast-paced office.
  • Excellent computer, oral and written communication skills.
  • Ability to work effectively and to maintain satisfactory working relationships with faculty, staff and students and the public from a variety of diverse backgrounds.
