During the 2024 fiscal year, researchers at the University of Notre Dame submitted 1,310 proposals for external research funding for a total amount of $1.016 billion — the first time the University has surpassed the billion-dollar mark for proposals. In addition, the University received 829 separate awards — the largest number on record. With $224 million in total funding, these awards propelled the University past the $200 million mark for the fourth straight year. Notre Dame Research Administration and Compliance (NDRAC) is seeking a Director of Pre-award Services to promote, lead, and execute the defined and essential role of Pre-award in securing research funding for the University. The Director knows and understands the pre-award support needs of Notre Dame’s researchers and the importance of delivering crucial services to them. With direct, intimate knowledge and understanding of researcher expectations, the Director guides Pre-award team members to deliver exceptional services to faculty and productive collaboration throughout the University.

Reporting to the Associate Vice President for Research for NDRAC, the Director leads and manages the pre-award team of professionals who support all non-technical aspects of the preparation and submission of research proposals. Through expert project and human resource management, the Director ensures research faculty are well-supported, overall, that their work is appropriately staffed and executed, and that their proposals are effectively developed and submitted.

The Director of Pre-award Services establishes strategic and operational goals and plans for the University of Notre Dame’s pre-award function. With these, the Director drives and manages all pre-award policies, services, programs, and processes that advance receipt of external funding from federal agencies, foundations, corporations, and other sponsors for the University’s programs of research, scholarship, and creative endeavor.

Notre Dame Pre-award is organized by and operates in a hybrid centrally-managed, locally-deployed support model. Within this model, the Director of Pre-Award partners with Team Leads, who are direct reports to the Director. Team Leads manage the defined teams of pre-award professionals within Pre-Award who support the University’s departments, colleges and schools, and centers and institutions. As the senior leader of the Pre-award team, the Director ensures all staff meet the highest standard of professional performance and exercise robust knowledge as pre-award experts in all related functions, including the development of proposal budgets.

Minimum Qualifications

Education and Experience:
  • Master’s degree and 10+ years of experience or equivalent combination of education and experience required.
  • Experience in pre-award administration, research administration, or a related field, required.
  • Experience working in highly collaborative, dynamic, matrixed environments, required.

Skills:
  • Demonstrated success as a leader and manager. Leads and manages a team with strong organizational and communication skills. Holds the desire and ability to inspire and mentor staff. Demonstrates coaching and mentoring skills.
  • Able to work effectively with research faculty, program staff, other administrative units, and academic leaders throughout the University. Skilled collaborator with a history of maintaining successful relationships internally and externally. Trusted advisor to researchers, colleagues, and other stakeholders, acting in a consultative manner.
  • Fluent and fluid in proposal development and research administration lifecycles. Strong knowledge of proposal development and submission practices and systems. Expresses a thorough understanding of current public policy issues in the research arena. Demonstrates ability to analyze, interpret, and implement policies and procedures.
  • Excellent communication (oral & written), planning, problem-solving, analytical, organizational, project management and customer service skills. Robust time and project management skills.
  • Energized by an intense work environment and encountering challenging situations, simultaneous demands, and tight deadlines. Ability to work under pressure in a calm, efficient manner while conveying confidence to stakeholders. Surefooted in accomplishing outcomes and leading team members under ambiguous and fluid circumstances. Flexes schedule as work requires, including occasional extended hours, evenings/night hours, weekends, and holidays.
  • Able to influence and build work relationships among a diverse workforce at all levels. Employs a participative supervisory style that utilizes teamwork to successfully guide the work of others. Fosters a learning culture among team members that embraces and thrives with the changing nature of work and technology. Personally technology-proficient with computer and software skills, e.g. video conferencing, word processing, spreadsheets, database, data query, internet, etc.

Preferred Qualifications

Preferred:
  • Experience across the research administration lifecycle with multiple institutions, including higher education, preferred.
  • CRA desirable.
