Montgomery College, Takoma Park/Silver Spring Campus, has an immediate need for a FT Community Use Scheduler. The work schedule is Monday - Friday 8:30 – 5:00pm This is a bargaining, non- exempt, grade 15 position. Under supervision and/or direction, assign all space/event requests for all internal and external customer on one of the three MC campuses. This would include community members and groups, students, faculty, staff and government agencies. Does not include credit and non-credit classes scheduled by Records & Registration.

Must determine whether customer or community groups are eligible for space use based on the College’s P&P manual and Profit or Not for Profit status. Personal events, such as Birthday or Anniversary Parties, and Weddings, are not permitted and those requests must be immediately denied.

Communicates with others at all levels throughout the College and external businesses, organizations, community members, Board of Elections, Law Enforcement Departments, Judges, Senators, Congressmen, Boards of Trustees, High Tech Companies, and including, but limited to, all other Government Agencies to obtain and provide information, and to arrange for room spaces for meetings, clubs, conferences, events, seminars, Bio-Tech conferences/seminars, and event requests.

Duties include but are not limited to:

  • Responsible for approving and scheduling conference centers, breakout rooms, conference and lecture halls and non-instructional classrooms, GT Globe Hall and GT Conference Center for administrators, faculty, staff, student groups, community groups and government agencies.

  • Input event information, with supporting documents, into the shared Community Use Calendar for internal support team members for their review and consideration to successfully support space/event customer requests. 

  • Collaborate with appropriate individuals for approval when reserving, theatres, gym, planetarium, swimming pools, and discipline-specific classrooms.

  • Consult and collaborate with customers on space usage, costs, and the College Policies and Procedures, the Protection of Minors on Campus requirements, Certificates of Insurance forms and Profit or Non-Profit status. Help customers determine the best set-up for their needs and coordinate with MC support services and media resources; make necessary adjustments and modifications as necessary.

  • Generate Revenue by calculating and creating the customer invoice.  Ensure revenue is coded to the appropriate cost center, ledger and spend category. Provide customer with their invoice, ensure receipt, and track & manage until customer payment is received in a timely manner. 

  • Meet with Facilities Teams weekly to ensure all event requirements are understood and covered by the appropriate shifts. Additionally, communicate daily reminders of events to appropriate Facility teams.  

  • Perform general administrative support work and provide administrative support to Director, Executive Associate and Administrative Aide. 

  • Assist in training and supporting Student Aides.

  • Schedules and coordinates the use of all passenger vans for administrators, faculty, and staff. Reviews all requests and documentation for accuracy and compliance and ensures the requested driver is qualified to drive the college owned vehicles.  Regularly maintains a list of all drivers who can operate college owned vehicles. 

  • Ensure drivers complete van request forms and record mileage before and after each trip.  Records miles used on passenger vans, calculates and creates invoices for all college department charge-back through monthly billing.

  • Collaborate with MC Insurance Department to inform of any accidents or damage to vans while in use. Inform and discuss with Campus Fleet Department any service repairs or breakdowns of vans.

  • Deliver outgoing departmental mail to the mailroom and pick up and distribute incoming mail.

  • Answer incoming telephone calls, including covering the Helpdesk, answering phones for co-workers and the facilities director.

  • Update and edit the facilities website. 

  • Performs other duties as assigned.

Required Qualifications:

  • High School diploma or G.E.D.

  • Two years of experience with computer software applications, office operations, report writing, telephone etiquette.

  • The equivalent combination of education, training, certification and/or experience that provides the required knowledge and expertise to perform the essential functions of the job may be considered.

Hiring Range $18.55 to $23.19 hourly. Initial salary placement is based on candidate experience and internal equity.  Please include a complete resume including all relevant and related work experience.
